4 Configuring Total
Recall Total Recall is simple to configure and operate. There is one (1) configuration menu and three (3) operation menus. 4.1 Basic Key Functions
Note:
The contrast of the LCD screen can be changed by holding down the Hash (#) key
and pressing the UP/DOWN keys. 4.2
The LCD Screen Each of the 4 password protected User Menus is presented on 1 screen. There is no wrap-around information, and no “hidden screens”. The Top Line of each screen displays the “Name” of the Menu, and the current date and the time. The Bottom Line of each screen is the Status Line. 4.3
Getting Started Once the line interface cables have been connected, connect the power cable and switch on the recorder. The power on/off switch is located next to the power connector at the rear of the recorder. It takes about 1 minute for the Total Recall system to load. You will hear an initial “beep” from the system and then you may see flickering lines on the LCD screen. This is normal operation. The LOGGING Menu is the “default” menu. After 60 seconds of inactivity, the system will revert to the LOGGING Menu screen and show current call activity. 4.4
Configuration Menu The start or default menu is the LOGGING Menu. Press the “MENU” key 3 times, and the CONFIGURATION Menu will appear on the LCD screen. The CONFIGURATION Menu controls system parameters like Passwords, Date & Time, VOX sensitivity, Beep Tone and selection of Live Monitoring channels. The following data fields can be configured;
Note: If power is shut-off to Total Recall, the last active CONFIGURATION Menu settings will be saved, and activated again on power-up. 4.4.1
The Configuration Menu: Configuration Settings a)
Password: The
same password controls access to all 4 menus, but only needs to be set once.
If you forget your password at any time, the system will be
inoperable. Please contact your dealer/reseller for
support. The first time you log onto Total Recall, you will have the option to set your own password. You can continue to use the default password (0000), or you can set a new password. The default password is (0000). To set your own password, select a numeric password, up to 8 characters in length. The cursor will be located after the word, “Password”: Enter the password using the numeric keypad. Press SELECT. The cursor will move to “New Password”: Enter the same password again to confirm. Press SELECT. The system (Status Line) will request you to re-enter the same password, and SELECT. In normal use… the password has to be entered to activate the Configuration Menu. Enter your Password, then SELECT, and the cursor will move to “New Password”. Press
SELECT again and the cursor will move to “Date”. b)
Date & Time: Enter the date format as (DD MMM YYYY) using the numeric keypad to set DD and YYYY, and use the SELECT key to toggle through the months, JAN-DEC). Press SELECT. Enter the time as (HH MM SS), with seconds being 00. Press
SELECT. The cursor will move to “Language”. c)
Language: Press DOWN ARROW to move to the “Language” setting. No further function is associated with this option at present. Press
DOWN ARROW to move to the Channel Settings. d)
Channel Settings:
VOX Timeout If VOX is set as a recording trigger, VOX Timeout will determine the maximum length of quiet time the recording will continue before being cut-off. This ensures that if a call has ended and the phone is not hung-up properly, the recorder will not continue to record silence. VOX Timeout settings can be between 2-15 sec, and applies to all channels that have the Trigger set to VOX. In the event that an active call is put on hold, and there is no “music on hold” being played, then the recording will terminate according to the VOX Timeout setting. When the call recommences, the VOX trigger will immediately open and start a new recording so that the complete conversation is captured across two recordings. The default VOX Timeout setting is 6 seconds. Warning:
Whatever the VOX Timeout setting per channel, that length of time must be
allowed between the termination of one call and the start of the next call.
If the next call starts within the VOX Timeout setting, both calls will
appear as one call record on the database, i.e., 2 calls appear as 1 continuous
call. e)
Maximum Record Length: This setting determines the maximum possible length of any one recording, whether the recording has been activated by VOX or Off-Hook. The Maximum Record Length setting can be between 5 minutes and 1 hour, and applies equally to all channels. If a call reaches the maximum length setting, the call record will be terminated at that point, and then a new record will immediately open. This new record will be indicated by the word “Continued” in the “Number” field. If the “Number” field has DTMF digits displayed, then the number will be followed by (….) to indicate the call is a continuation. This function enables very lengthy recordings (for example, radio monitoring) to be presented as a series of recordings in manageable length sizes. The default Maximum Record Length setting is 1 hour. f)
Channels 1-16: A maximum of 16 channel positions will be displayed on the LCD screen. There are three configurable settings for each channel.
I.
Trig. (Trigger) This is the setting that triggers a recording on a channel. The trigger can be VOX (voice or sound activated), Hi, Mid or Low (voice or audio signal), or Off-Hook (a voltage level trigger from the handset). VOX Hi: High signal and low sensitivity (-12dBm). VOX Hi would pick up “loud” conversations, but may not pick up very soft conversations. VOX Mid: The default setting is VOX Mid (-23dBm). VOX Low: Low signal and high sensitivity (-29dBm). VOX Low would pick up a very soft voice, but VOX Low may also trigger the recorder from a noisy line. Off-Hook: This is the recommended setting for normal recording from a telephone line. If you are recording telephone calls, we recommend that the “Trigger” settings for each channel remain at the default during the initial configuration set-up. The Off-Hook function is triggered by a voltage change on the line. A drop in voltage (taking the receiver off-hook) will normally provide sufficient voltage change to be detected by the recorder, and activate recording. Replacing the receiver would normally stop the recording. However, if there is insufficient voltage on the line, the Off-Hook function will not work, and therefore a VOX trigger needs to be selected. Handset adapters detect audio signals from the handpiece, but not voltage change on the line, so Off-Hook cannot be used when the recording is via handset adapters. Warning:
If a channel is set to Off-Hook and no line is connected to the channel,
the channel will commence recording and can only be disabled by entering the
Configuration Menu again and setting the channel to VOX. Press
the SELECT Key to toggle through the 4 settings. Press
DOWN ARROW to move to “Mon”.
II.
Mon (Monitor) This
enables Live Monitoring of calls on a channel. By
setting a channel “MON” to ON, calls can be live monitored on that channel
through the LOGGING Menu. Options
are ON or OFF. The
default setting is OFF. Press
the SELECT Key to toggle between the 2 settings. Press
DOWN ARROW to move to “Beep”.

Beep (Beep Tone) The
Beep Tone is a “beep” sound that is generated by the recorder, approx every
15 seconds.
The Beep Tone indicates to both parties that the call is being recorded. Press
the SELECT Key to toggle between the 4 settings. Press
DOWN ARROW to move to the next channel. Repeat
the selection settings for each
channel. In some countries, it is mandatory to issue a Beep Tone when recording. For some users, it is a matter of preference or company policy. It is possible to turn the Beep Tone ON or OFF. Total
Recall does not transmit a recorded message to
advise that recording is taking place. 4.5
Error Messages If there is a temperature (overheat) problem inside Total Recall, or if the DSP (voice processing card) is not present, then an error condition will occur. The error condition will be clearly displayed on the LCD screen, and the red LED will light to indicate the error. In both cases, instructions on the screen will indicate to the user what to do to clear the error condition and reset the recorder. TABLE OF CONTENTS
